PRIVACY AND DATA PROTECTION POLICY

Your right to privacy is important to us and we are keen to strike a fair balance between your personal privacy and ensuring you obtain full value from our Site and other products and services we may be able to market to you. This Policy (together with our Terms of Use [LINK]) sets out the basis on which any personal data we collect from you or you provide to us will be processed by us. Please read this Policy carefully to ensure that you understand our views and practices regarding your personal data and how we will treat it.

We, HRJLaw LLP, 7/8 Portmill Lane, Hitchin, Hertfordshire SG5 1AS are the data controller for the purposes of the United Kingdom Data Protection Act 1998 (‘the Act’). We are fully registered under the Act and comply with all protection the Act affords you.

Please note that this Policy only applies to the collection and processing of data arising out of your use of the Site and registration to receive email newsletters. Except where specifically stated below. any data we receive from you following instructions to provide professional services to you is not covered by this Policy.

1 PERSONAL DATA WE MAY COLLECT FROM YOU 

We may collect and process the following data about you: 

1.1 Information that you provide by filling in forms on the Site. This includes information you provide when registering for our email newsletter or emailing us through the ‘Contact Us’ section of the Site (including a record of any correspondence). Information you may be asked to provide includes your name, address, email address, telephone number and other relevant personal information that will be needed to supply email newsletters to you. If you email us to request information regarding our professional services through the ‘Contact Us’ section of the Site, the information you provide in your email may include sensitive personal information (see below, [LINK]);

1.2 Details of your visits to our site including (but not limited to) traffic data, location data, weblogs and other communication data and the resources that you access (see IP Addresses and Cookies below [LINK]);

1.3 Any surveys that we ask you to complete that we use for research purposes, although you do not have to respond to them.

2 SENSITIVE PERSONAL INFORMATION

2.1 Sensitive personal information includes information as to your racial or ethnic origin, your religious beliefs, your membership of a trade union, your political opinions or your physical or mental health.  We will not ask you for this information in order to enhance your use of the Site but:

a you may provide it to us if you use the ‘Contact Us’ section of the Site to request further information regarding the services we can provide to you; and/or

b we may become aware of such information during the course of providing professional services to you under separate contract.  

Such information could help us to ensure that any newsletters you receive (if you register to receive them) are relevant to you.  In order to use sensitive personal information in the way, we need you to specifically agree that we may keep it and continue to use it for the purposes set out in this Privacy Policy. Because of this, we ask you to click to confirm that you are happy for your sensitive personal information to be used in accordance with this policy when you register to receive email newsletters.

Participation in these offers is completely voluntary and you do not have to disclose this information. Information requested may include contact information such as phone numbers and shipping address. 3 IP ADDRESSES AND COOKIES

3.1 Like many websites we may use cookies (defined below) for collecting user information such as your user identification number to enable us to identify whether you have registered to use the part of the Site which you are using and, if so, to make your access to the Site quicker. We may also use cookies to diagnose problems with the Site.

3.2 The term ‘Cookie’ means a message given to a web browser by a web server.  The message is then stored by the browser in a text file called cookie.txt.  Each time the browser requests a page from the server, this message is sent back.  A cookie’s main objective is to identify users and personalise their visit by customising web pages for them eg by welcoming them by name next time they visit the same site.  A site using cookies will usually invite you to provide personal information such as your name, email address and interests.

3.3 You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies but, if you do select this setting, you may be unable to access certain parts of the Site.  Unless you have adjusted your browser setting so that it will refuse cookies, our system will issue cookies when you log on to the Site.

3.4 Please note that linked sites, over which we have no control, may also use cookies.

3.5 We may collect information about your computer, including where available your IP address, operating system and browser type for system administration and to enhance the Site for its users. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.

4 HOW WE MAY USE YOUR PERSONAL DATA

4.1 We use information held about you for the following purposes:

a To ensure that content from the Site is presented in the most effective manner for you and for your computer;

b To provide you with relevant email newsletters if you have registered to receive them;

c To notify you about changes to the Site and other news about our business;

d To build up an accurate customer profile of you; 

e In order to make promotional or relevant information from us available to you;

5 WHERE AND HOW WE STORE YOUR PERSONAL DATA

5.1 Your personal data is stored by us on our secure servers in the UK.

5.2 Unfortunately, the transmission of information via the internet is not completely secure.  Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our Site and any transmission is at your own risk.  Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

5.3 We will store your personal data for as long as you are a user of the Site and/or are registered to receive email newsletters. After this time we will keep your personal data on our records for a reasonable time to enable us to respond to any queries that you may have and for legal reasons after which we will delete all of your personal data from our records. Please note that we may still hold personal data in connection with any professional services we provide for you under separate contract, even if you no longer use the Site and are no longer registered to receive email newsletters.
